Documents
Keep a register of your controlled documents and see which processes use them.
ISO 9001 asks you to control your documented information (clause 7.5): know which work instructions, procedures, forms and templates exist, which version is current, who owns each, and where it's used. Documents in the sidebar is that register.
Steplane doesn't store the files. They stay where you keep them, such as SharePoint or Google Drive; Steplane keeps the number, version and owner of each document and links to the file.
The register
Each document has:
- a number and title, for example I-15-01 Incoming inspection. Numbers are unique in your organization, whatever the case.
- a kind: procedure, work instruction, form, template, record, policy or other.
- a version, such as 3 or 2026-10.
- a link to the file (a web address starting with
https://). - an owner: the person responsible for keeping it current.
The list shows which processes use each document. Not used by any process lists documents no step takes in or produces, which may be out of date or missing from a process. All inputs and outputs shows everything steps pass along, documents or not.
Owners, admins and editors choose Add document to add one, or Edit to change one.
Documents in steps
Documents are inputs and outputs, so a step uses one the same way it uses any input or output: type its name in the step's Inputs or Outputs in the editor. On the Steps tab, a document shows with its number and opens its file in a new tab.
Something your steps already pass along, such as a purchase order, becomes a document when you give it a kind: choose All inputs and outputs, then Make a document next to it. Every step that uses it shows it as a document straight away. Choose Not a document as its kind to take it out of the register again; the steps keep using it.
With Claude
Claude can list the register, add and change documents, and find the processes that use a document by its number, for example "Which processes use I-15-01?".
